Security and concierge for companies in Italy: how to choose a provider
Gruppo FN · 23/03/2026
The person at the door is both security and brand. For a foreign company opening offices, a store, a clinic or a diplomatic annex in Italy, a cheap unstaffed lobby is a false economy. This guide covers unarmed presence, concierge and trusted reception — not armed private security, which is a different licensed market. Gruppo FN SRL runs these services from Rome, with national expansion, as an SRL rather than a cooperative.
Presence is not a single product
Concierge, corporate security, retail anti-shrinkage, construction-gate control and embassy-style trusted reception use different profiles and procedures. A supplier that offers one generic “guard” for all of them is simplifying your risk, not your contract. Specify visitor logs, badge rules, night rounds, deliveries, and who calls whom in an incident. Then ask how absences are covered: an empty post at 21:00 is the usual failure mode.
- Trusted reception for headquarters, clinics and diplomatic sites
- Corporate and healthcare presence with visitor and access procedures
- Retail loss-prevention and store-front presence
- Night and holiday cover with a replacement pool, not a single named person
- Alignment with existing CCTV, badges and privacy notices
What to verify in the supplier
Training on access control and GDPR matters because reception handles names, ID and sometimes health-related visits. Continuity matters more than the resume of one operator. A dedicated coordinator and written substitution rules are the difference between a service and a person you happen to like. Gruppo FN SRL employs the staff, applies the relevant CCNL and remains the contractual counterpart — useful when group security questionnaires ask who the employer is. Unarmed presence is not a substitute for a licensed istituto di vigilanza where Italian law requires one; say so in the RFP so bidders do not over-claim.
- Ask for the legal form, employer of record, and CCNL
- Ask how a no-show at night is filled, with a time target
- Ask who trains staff on visitor data and confidentiality
- Ask for sector references (embassy, HQ, hospital, store), not a mixed list
FAQ
What is the difference between concierge and trusted reception?
Concierge is site presence and access. Trusted reception adds a professional welcome, visitor handling and confidentiality suited to headquarters, institutions and diplomatic premises. The profile, dress and script should match the site, not a warehouse gate.
Can you cover 24/7 and public holidays?
Yes, when the contract dimensions a rostered pool. Gruppo FN SRL plans day, night and holiday cover and activates replacements rather than leaving a post empty. 24/7 must be stated as a requirement at briefing because it changes headcount and price.
Do staff process personal data at reception?
Usually yes: names, documents, badges, sometimes deliveries. The facility remains controller; the supplier should sign a DPA, brief staff, and follow your register and retention rules. Diplomatic sites can add stricter protocols.
