   You describe sites, roles, languages, hours and constraints. A coordinator replies within one working day and flags what is feasible in Lazio versus what needs a national mobilisation.

2. 02Operational proposal

   We map headcount, CCNL, SLAs, replacements and facility scope. A site visit in Rome or Lazio is arranged where useful; remote briefings cover other regions. You receive a written offer with assumptions, lead times and a named counterpart.

3. 03Contract and onboarding

   We sign a service agreement, a GDPR processing addendum where personal data is handled, and the operational annexes (shifts, access, uniforms, reporting). Staff are selected, credential-checked and briefed on your house rules before the first shift.

4. 04Go-live and dedicated coordination

   Operations start on the agreed date with a single coordinator for absences, quality and invoicing. Coverage can later extend to further Italian sites under the same commercial framework.

What kind of contract do you sign with a foreign company?

We sign a service agreement (appalto di servizi) between your organisation — or its Italian branch, if you already have one — and Gruppo FN SRL. Gruppo FN remains the employer of the people on site; you do not take them onto your payroll. Duration, sites, SLAs and notice periods are set in the annexes, so group legal and procurement teams can review a conventional B2B contract rather than an employment bundle. Framework agreements are available when several Italian locations will open over time.

How quickly can you activate staff and site services?

In Lazio, urgent replacements for known profiles can often be arranged within hours. A planned go-live with credential checks, site induction and a named coordinator typically takes from several working days to two or three weeks, depending on licences, languages and night cover. Embassy, healthcare and tendered services may need extra documentation time; we state that clearly in the proposal rather than promising a date we cannot hold.

Can staff work in English, Spanish or French?

Coordination with your headquarters can run in English, and we arrange bilingual reception or administration where the site requires it — typically diplomatic missions, international clinics and regional HQs. Clinical staff must be licensed in Italy and usually work in Italian with patients, which is what professional registers and most facilities expect. Tell us the language mix at briefing: we will say which roles we can staff bilingually and which should remain Italian-speaking for safety and compliance.

Can you invoice a company that is not established in Italy?

Yes. Gruppo FN SRL issues Italian electronic invoices. Intra-EU B2B services are typically treated under the reverse-charge rules when you provide a valid VAT number; extra-EU clients are invoiced according to the place-of-supply rules that apply to the service. We are not your tax advisers: your group finance team should confirm VAT recovery in the home country. We can share sample invoices and our company details (including PEC and SDI codes) during due diligence.

How do you handle GDPR and confidentiality?

Where our staff process personal data on your behalf — visitors, patients, employees, CCTV logs — we act as processor under a written DPA and follow your instructions on systems and retention. Reception and healthcare profiles are briefed on confidentiality; diplomatic and institutional sites can add stricter access and badge rules. We do not reuse client data for marketing. If you already have a group DPA template, we review it against Italian practice rather than forcing a one-page clause.

What is a CCNL and why should a foreign buyer care?

A CCNL is an Italian national collective bargaining agreement. It sets minimum pay, hours, overtime, leave and social contributions for a sector. If those rules are ignored, the risk sits with the employer — and, in poorly structured supply chains, it can reach the principal. Gruppo FN employs staff on the CCNL that matches the role, pays contributions and handles replacements. You buy a service with labour compliance already inside it, which is usually what parent-company counsel wants to see.

Why should a foreign company entering Italy talk to you?

Because the commercial conversation can happen in your language while the operation stays Italian: CCNL, licensed healthcare staff, facility services and a named coordinator in Rome. International groups that enter the market get one local counterpart instead of assembling several suppliers from scratch.

Do you work with embassies and public procurement?

Yes. Diplomatic missions in Rome require trusted reception, access control, cleaning and often administrative support under confidentiality rules that differ from a standard office. Italian public bodies may buy through their own procedures or national platforms; we prepare the corporate and technical documentation those processes ask for. Lead times are longer than a private purchase order, and we will say so up front. We are not a licensed private-security company for armed guarding: our offering is unarmed presence, concierge and access management.

Where in Italy can you actually cover?

Rome and Lazio are the operational core: that is where replacements, site visits and 24/7 healthcare or security cover are fastest. We already activate services in other provinces and regions when the profile, notice and logistics allow, and national expansion is part of the company plan. Multi-site groups should brief all locations at once so we can be honest about which sites go live first and which need a mobilisation window.

How do you manage quality once the service has started?

Each account has a dedicated coordinator, shared attendance and incident logs, and agreed substitution rules. Healthcare profiles are credential-checked (titles, professional-register membership, training). Facility and reception staff are briefed on your house procedures before the first shift. We review KPIs with you on a rhythm you choose — weekly at go-live, then monthly — and we replace people who do not meet the standard rather than leaving the site to improvise.

Can you cover nights, weekends and 24/7 shifts?

Yes. Healthcare wards, care homes, concierge and security are routinely planned across day, night, weekend and holiday shifts. Continuity depends on a rostered pool, not on a single named person. If a night operator is absent, the coordinator activates a replacement instead of leaving the post uncovered. Tell us at briefing whether 24/7 is a hard requirement or a later option; it changes how we dimension the team and the price.
